External Group Supporting Event Policy and Regulations

The Student Engineers' Council at Virginia Tech (SEC) may occasionally highlight selected external Engineering Expo support events on our Expo calendar. These can include but is not limited to activities such as company/major related info sessions, company "happy hours", resume reviews, opportunities for headshots, and mock-interviews.

Requirements and Limitations

Though we feature certain supporting events on our Expo calendar, they will be clearly labeled as third-party initiatives unaffiliated with the SEC. Furthermore, we won't promote these supporting events through our student/company listservs.

The SEC holds the exclusive right to evaluate and approve all external event promotion requests. As such, we kindly request your compliance with the following eligibility requirements, which help maintain the SEC's commitment to excellence and professionalism:

  1. Inclusivity of Attendees: If the SEC promotes your event, please be aware that attendees may extend beyond the specific majors or academic years your department or organization targets. Given the Engineering Expo is open to any Virginia Tech student, past or present, we expect your event to reasonably accommodate any student preparing for the Engineering Expo.
  2. Event Scope: We welcome for promotion events that directly aid in preparing and enriching the applicant attendee experience at the Engineering Expo. However, the SEC does not promote other career/job fairs.
  3. Free Access: Your events should be hosted free of charge to attendees (including partnered companies).

Instructions for Event Submission

  1. Event Eligibility: Ensure your event is aligned with our requirements and eligibility criteria before submitting it for consideration.
  2. Contact SEC for Approval: Begin the approval process by reaching out to While you might not have all the required details immediately, provide as much information as possible to expedite the process. The SEC will only list events on the calendar if complete materials are provided.

In getting your event approved, kindly provide the following information:

  • Hosting department, company, or organization's name
  • Event date and time
  • Event location
  • A header image (16:9 ratio) of 1920x1080px dimensions, not exceeding 1MB file size
  • Comprehensive event description
  • Primary contact's email address and phone number
  • Topics to be addressed at the event
  • Targeted majors and academic years
  • URL for RSVPs (optional)
