Exhibitor Payment Policy and Terms

The SEC offers two methods with which to pay for invoices: checks and credit card. While we can process your card by taking information over the phone, it is far more secure to do so online. To pay by check, please address the check to "Student Engineers' Council at Virginia Tech" with your company’s name in the memo and mail to the following address:

After a payment method is specified via checkout, a processing fee up to 2.5% may be charged for changing the payment method. Please note that you cannot directly cancel an invoice - instead, you must request to cancel an invoice, after which our staff can finish the cancellation. This procedure allows us to clarify your intentions and confirm any applicable penalties.

All invoices will be due by September 20th, 2024. Payments sent via USPS must be postmarked by due date. The SEC reserves the right to charge an additional 5% penalty fee for overdue invoices for each full week payment is not received, to a maximum of 100%.

We understand that COVID-19 has presented unforeseen financial burdens for many, so for companies who would like to attend but need assistance in setting up a payment plan, please contact our Director of Finance at secdof@vt.edu.

Companies are able to cancel for a full refund up until August 17th. Any company that cancels after this day will not be issued a refund. 

All Employers must be in their booth by 10:00 AM. Employers who cannot be reached by phone, with the contact information on file, will get NO money back, and will be charged a $100.00 administration fee.

Acts of God, such as adverse weather and natural disasters, that prevent registered companies from attending the Expo will be treated on a case-by-case basis. Refunds will be given at the discretion of the SEC.
